How we use your information
Woodhouse College uses your personal information in order for you to become a member of the alumni database. This information will then be used in order to send you the Alumni Newsletter, invite you to events run by the College and inform you of volunteering opportunities currently available. From time to time, the alumni database may also be used to conduct research that is relevant to improve the College’s services.
This notice gives you more information about how the College collects, stores, processes and shares your data.
The categories of information that we collect, hold and share include:
- Personal information (such as your name, date of birth, email address, telephone number and gender).
- Employment information (such as your current work status and the name of your employer).
- Your IP address (so we can learn more about how our platforms are used and to improve our user experience).
- Any additional information that you may choose to upload to your profile (such as your photo).
- Your profile activity (such as activity on the membership area or messages sent and received).
The lawful basis on which we use this information
We collect the following personal data under GDPR Article 6 for at least one of the following reasons:
Consent – you have given clear consent for us to process your personal data for a specific purpose.
Legal obligation – the process is necessary for us to comply with the law (not including contractual obligations).
Collecting information
The information held by the College is collected directly from yourself via the registration form.
Storing your data
We hold your data securely on the College’s alumni database for seven years from the date that you join. Prior to the end of the seventh year, the College will contact you to confirm that you wish to remain on the alumni database.
Updating your data
We have a duty to keep your data up to date so will periodically ask you to check that it is all still correct. You can submit changes to your details via your profile within the database.
Who we share your information with
If made public, your profile information will be shared with other members of the alumni on the database, who may wish to contact your directly. Members should not post personal information, such as telephone numbers, on their public profile.
We will not share your personal data with any third-party organisation without your consent. The management of your data will be carried out by Woodhouse College.
Requesting access to your personal data
Under data protection legislation, you have the right to request access to information that we hold. To make a request for your personal information contact the College’s Data Protection Officer (DPO).
You also have the right to:
- object to processing of personal data that is likely to cause, or is causing, damage or distress
- prevent processing for the purpose of direct marketing
- have inaccurate personal data rectified, and, in certain circumstances, data can be blocked, erased or destroyed
- claim compensation for damages caused by a breach of the Data Protection regulations
